This Privacy Notice (“Notice”) explains how Traveltrust (“Traveltrust,” “we,” “our,” or “us”) collects, uses, discloses, and protects personal information in connection with our business travel, corporate travel, meetings, events, and related services in the United States.

Traveltrust is a global Travel Management Company. We collect, use, and disclose personal information as necessary to perform our business functions and activities, including making and managing travel bookings and providing travel-related services on behalf of our clients and travelers.

We are committed to protecting the privacy and confidentiality of personal information and maintaining appropriate physical, technical, electronic, and organizational safeguards designed to protect the information in our care.

This Notice applies primarily to individuals who interact with Traveltrust in the United States. Depending on where you live and the nature of our relationship with you, additional privacy rights or requirements may apply under applicable federal, state, or local laws. For example, certain California residents may have rights under the California Consumer Privacy Act, as amended (“CCPA”).

When Traveltrust provides business travel or event management services to a corporate client, we may process personal information on behalf of that client. In those circumstances, the applicable agreement between Traveltrust and the corporate client may govern certain aspects of how personal information is processed.

For marketing and other activities where Traveltrust determines how and why personal information is processed, Traveltrust may act as the business responsible for that processing.

2. WHAT PERSONAL INFORMATION DO WE COLLECT?

“Personal information” generally means information that identifies, relates to, describes, or could reasonably be associated with an individual or household.

The type of personal information we collect depends on how you interact with Traveltrust and the services you request.

We generally collect personal information directly from you or from the person or organization arranging travel on your behalf.

We may collect personal information:

When you communicate with us in person, by telephone, email, or other means;
When you visit or use our websites;
When you make or inquire about travel arrangements;
When your employer or another organization makes travel arrangements on your behalf;
When you register for an event, meeting, promotion, or other Traveltrust service;

Through other lawful business interactions with Traveltrust.

In some circumstances, we may receive personal information from third parties. For example, an employer, travel coordinator, event organizer, or other authorized person may provide information necessary to arrange travel for you.

If you make a travel booking on behalf of another individual, you should have the authority to provide that person’s personal information to us and should ensure that the individual is aware that their information is being provided to Traveltrust.

4. HOW DO WE USE YOUR PERSONAL INFORMATION?

We may use personal information for purposes including:

Providing travel advice and assistance;
Making, managing, modifying, and canceling travel reservations;
Arranging flights, hotels, rental cars, ground transportation, meetings, events, and other travel-related services;
Communicating with you about your travel arrangements;

Providing services requested by our corporate clients;

Sending SMS messages regarding travel reservations, itinerary updates, travel alerts, customer service communications, and other requested travel-related notifications.

When you book travel through Traveltrust, we may act as an agent or intermediary for airlines, hotels, rental car companies, and other travel service providers. We may provide those providers with the information necessary to fulfill your requested travel arrangements.

5. IS PERSONAL INFORMATION DISCLOSED TO THIRD PARTIES?

We do not sell or rent personal information for money.

We may disclose personal information to third parties when reasonably necessary to provide our services, operate our business, comply with applicable law, or for other purposes described in this Notice.

These third parties may include:

Airlines and other transportation providers;
Hotels and lodging providers;
Rental car companies;
Ground transportation and transfer providers;

SMS consent is not shared with third parties or affiliates for marketing or promotional purposes. Mobile phone numbers collected for SMS communications will not be sold, rented, exchanged, transferred, or otherwise shared with third parties or affiliates for marketing or promotional purposes.

Any mobile phone information collected for SMS messaging is used solely for the purpose of providing requested communications and related customer service. SMS opt-in data and consent records are not shared with any third parties except vendors and service providers that support the delivery of SMS messages on our behalf.

6. IS PERSONAL INFORMATION TRANSFERRED OUTSIDE THE UNITED STATES?

Travel is inherently international, and Traveltrust may need to provide personal information to travel service providers or other service providers located outside the United States.

For example, if you travel internationally, information may be provided to an airline, hotel, transportation provider, government authority, or other travel provider located in the country where the service is being provided.

Traveltrust may also use technology, administrative, and other service providers located in the United States or other countries.

Where required by applicable law, Traveltrust will take appropriate measures concerning international transfers and the protection of personal information.

Traveltrust is committed to protecting personal information through reasonable administrative, technical, physical, and organizational safeguards appropriate to the nature of the information and the risks associated with its processing.
